If you have a business and you want to attract more customers, you wish to celebrate a milestone or you’d like support a charity, something that you should definitely do is host an event. And if you want to put on the kind that will definitely make a big impression, it’s a good idea to that you plan it down the very last detail.

If you’ve never planned a business event before and you would prefer to do it yourself rather than hire an event planner, we have provided you five things that you should do that will not only make the process easy for you but will guarantee great results in the process below:

Set a budget. You can plan the biggest and best event ever, but if you don’t have a budget set, it’s either going to result in you not having enough money to pay for it or you going into debt in the process. That’s why, before doing anything else, you should first establish a budget. Also, if at all possible, try and pay for what your event needs with cash (or a debit card). That way you can avoid the interest rates that come with using your credit cards.

Select a theme. Something that can help you to stay focused on the exact things that you need is to choose a theme. Do you want it to be a 50s fundraiser? Or maybe it’s a formal staff party. By having a clear theme in mind, you can know what kind of food, entertainment and decor to purchase. And that can save you time and money.

Pick a venue. There are a lot of people who make the mistake of booking a venue before selecting a theme but we don’t recommend taking that approach. That’s because different themes require different looks. However, once you know the theme that you want to have, then choose the place to host the event. Just make sure that you try and do this 4-6 months before you want the event to happen. That will give you more options which are usually at a cheaper cost than if you waited only 4-6 weeks before.

Speak with vendors. Based on the size of your event, there’s a pretty good chance that you’re going to need to speak with some vendors. Although it’s always helpful to already have established relationships with them, vendors are always looking for business. Therefore, you should be able to find a few to give you just what you’re looking for. Just make sure that if you are planning to use things like a catering service or DJ, that you interview 3-5 different companies/individuals and that you request their portfolio as well as some referrals. Also, make sure that they have no other engagements on that day and that you get the details of your agreement in writing.

Create your guest list. Say that you work for a company like the Resource Entertainment Group and you’re planning on throwing an awards party. Once you have your theme, venue and vendors in place, now it’s time to create your guest list. It needs to include all of the people being awarded, your staff and any people in the community who would directly benefit from attending. The reason why this is the final step is because once you’ve taken care of everything else, you can be sure that you will be able to provide the needs of every person on your invite list. And that will make your event the best one ever!
